Terms & Conditions
These terms apply to bookings made through Manchester Taxi Cars. The operator responsible for your journey is identified on your booking confirmation. A quote request is an enquiry only. A booking is confirmed when Manchester Taxi Cars accepts the journey and issues booking confirmation.
1. Quotes and fares
Quotes are based on the journey information supplied, including pickup and destination, date and time, passenger numbers, luggage and vehicle requirements. If those details change, the fare may also change. Any revised price will be confirmed before the amended booking is accepted.
2. Deposits and payment
Where a deposit is required, the standard deposit is £20 unless a different amount is stated when booking. It is a part-payment of your fare. On a customer cancellation, we may retain it only towards a fair cancellation charge under section 3 and our Refund Policy; any amount above our justified loss is refundable. Payment can be made using the payment methods agreed for the booking, including cash or card where available.
3. Cancellations
Our customer-cancellation window is seven days (168 hours) before the scheduled pickup. Within that window, cancellation charges may be up to the full fare, but only to cover losses reasonably incurred because of the cancellation. We deduct costs saved and replacement-booking income, take reasonable steps to reduce losses, and refund any excess payment. There is no automatic right for us to keep the full fare simply because a booking is cancelled within seven days.
For cancellations more than seven days before pickup, fare payments are refundable, less any justified deposit retention and permitted processing charge explained in our Refund Policy. Deposits count towards any cancellation charge and are not charged again on top. The same loss-based rules apply to minibus and executive bookings. Each leg of a return booking is assessed against its own pickup time. Contact the office by telephone or email to cancel; ask for confirmation and follow up if none arrives.
3A. Outbound no-show or cancellation on return bookings
If you cancel or miss the outbound leg, contact our office promptly to confirm whether the return is still needed. We will make reasonable attempts to contact you before cancelling an associated return leg and give notice through your supplied contact details. Any cancellation charge for either leg is assessed separately under section 3; an outbound no-show does not automatically forfeit payment for an unused return journey. Your statutory rights remain unaffected.
4. Airport collections, early arrivals and flight monitoring
Unless a different collection time has been expressly agreed with our office, your driver is scheduled to arrive one hour after your flight's scheduled landing time, allowing time for baggage collection and passport control.
We check flights for delays only. If your flight lands early, the collection time will not be brought forward automatically: your driver will still be scheduled to arrive one hour after the original scheduled landing time. An early landing does not mean that the driver will be available earlier.
Where a valid flight number is supplied, we use available flight-delay information to plan any necessary adjustment to the collection time. Please provide accurate flight details and tell us as soon as possible if your flight is delayed or its details change.
5. Waiting time and parking
For a standard airport collection, the one-hour allowance is for baggage collection and passport control, not an additional hour of driver waiting after pickup. Chargeable waiting starts only after the latest of: the confirmed collection time (including any delay adjustment agreed with the office), one hour after actual landing, or the driver's arrival at the agreed collection point. An early landing never brings chargeable waiting forward before the confirmed collection time. Waiting caused by our lateness is not charged.
For non-airport collections, waiting may be charged from the booked pickup time, but never before the driver is at the agreed collection point. Additional waiting is £24 per hour, calculated pro rata. Tell the office promptly if you are held up so we can discuss extra waiting and explain any charges.
Where your confirmation expressly specifies the separate meet-and-greet arrangement, the driver meets you 30 minutes after actual landing and waits for 30 minutes; 30 minutes of parking is included. Otherwise the standard one-hour scheduled-landing collection rule in section 4 applies. An early arrival changes the meet time only where that arrangement was expressly agreed when booking. Extra waiting starts only after the included period and the driver's arrival.
Your fixed quote or booking confirmation will state what airport parking is included and identify any parking payable separately before you book. Any additional parking caused by customer-requested extra waiting is charged only at the actual additional cost, explained before you agree to extend the wait. We do not add undisclosed parking charges or charge twice for parking already included. No extra charge applies for legally required disability assistance.
6. Child seats
Child seats are available for children when requested as part of the booking. Please tell us how many children are travelling and the seat requirements when requesting your quote so suitable seats can be arranged. The parent, guardian or accompanying customer is responsible for installing each child seat correctly in the vehicle before travel.
7. Passengers, luggage and vehicle choice
Please provide the correct number of passengers and describe luggage, mobility equipment and any bulky items when requesting a quote. We use this information to check that the vehicle can carry everyone and their belongings safely. If the selected vehicle becomes unavailable, we may offer a suitable alternative. We will discuss this with you before confirming the change, and confirm any change to the fare before you accept it. Luggage must be stowed securely and must not obstruct seats, doors or the driver's view.
8. Booking confirmation and journey details
Please check your booking confirmation as soon as you receive it, including the date, pickup time, addresses, passenger and luggage details, flight number and agreed fare. Contact us promptly if anything is incorrect or missing. Keep the confirmation and any collection instructions available for your journey. Provide a current mobile number and keep it available near pickup time, especially for airport collections. If you cannot locate your driver or collection details, call us using the contact details on your confirmation.
9. Changes to a booking
For changes to the date, time, route, passenger or luggage details, vehicle or stops, contact Manchester Taxi Cars by telephone or email. A change is subject to availability, may affect the fare and is not confirmed until we confirm it to you. Please do not rely on a change agreed only with a driver unless our office has confirmed it.
10. Routes, travel times and delays
The driver will choose a safe and suitable route, taking account of traffic, roadworks, closures and conditions on the day. You may request a different route; the driver will consider whether it is practical and safe, and any fare change will be agreed before the route change is accepted. Please allow enough time for check-in in line with your airline and airport guidance.
We take reasonable care to plan journeys and maintain vehicles, but delays may occur because of unexpected traffic congestion, road accidents, road closures, severe weather or unforeseen vehicle breakdowns. Where these events are outside our reasonable control and neither we nor our drivers or service partners are at fault, we are not responsible for the resulting delay or losses caused solely by that delay, including missed flights or connections.
We will take reasonable steps to minimise disruption, keep you informed and, where practical, arrange alternative transport. This clause does not exclude responsibility for negligence or a failure by us, our drivers or our service partners to provide the service with reasonable care and skill, including negligent driving, inadequate vehicle maintenance or unreasonable journey planning. Your statutory rights remain unaffected, including any right to a refund for a service not provided.
We recommend arranging suitable travel insurance.
11. Airport pickup details
For an airport collection, provide the flight number and the date and scheduled local landing time at the UK airport where you want to be collected. Please do not enter the flight's departure details in place of its UK arrival details. Tell us as soon as you can if the flight is significantly delayed or its details change. Flight monitoring can help us plan a collection, but depends on receiving accurate flight details and available flight information.
12. Waiting for your driver
If your driver has not met you at the agreed collection point, contact us before arranging alternative transport so we can try to help. If you leave without contacting us or waiting for the driver, any refund will be considered under the booking's cancellation terms and the circumstances of the journey.
13. Pets, assistance dogs and accessibility
Ordinary pets must be agreed with the office before booking and carried safely in an appropriate carrier or restraint. Tell us about the animal and any vehicle requirements when enquiring. Reasonable cleaning or repair costs may apply for damage or cleaning beyond normal use.
Assistance dogs are not subject to our ordinary pet-approval condition and travel with their disabled passenger without an additional charge. You do not have to give advance notice as a condition of carriage. A driver may rely only on a valid lawful exemption; where one applies, contact the office so we can seek a suitable alternative driver.
Please tell us about assistance, wheelchair, mobility-aid and vehicle-access needs so we can arrange a suitable vehicle and collection. We provide the mobility and vehicle-finding assistance required by law without extra charges. Disability alone is not a reason to refuse a booking, and no surcharge applies for an assistance dog or required assistance. Any lawful driver exemption does not remove the prohibition on extra charges.
14. Drivers and service partners
Your journey may be carried out by an appropriately licensed driver assigned to the booking. Where another driver is assigned, we will provide the available driver and collection details through the contact method agreed for your booking.
15. Damage and additional cleaning
Passengers are responsible for damage to the vehicle beyond ordinary wear and tear, and for cleaning needed because of an unusual spill or mess. Any charge will reflect the reasonable cost of the repair or cleaning required.
16. Contact
If you need to ask about or change a booking, contact Manchester Taxi Cars as soon as possible using the telephone number or email address shown on your booking confirmation or on our contact page.
17. Cancelled, diverted or rescheduled flights
Contact the office as soon as you learn that your flight is cancelled, diverted or moved to a different date or airport. Flight monitoring does not replace this contact. A different airport, date or route is a booking amendment: we will explain availability and any revised fare before you accept it. A change is confirmed only when the office confirms it. If an amendment cannot be agreed and you cancel, the seven-day cancellation policy and loss-based limits apply; a flight cancellation does not automatically mean that we may retain the full fare. Statutory remedies remain available if we cancel or cannot provide the agreed transfer.
18. Airport no-shows
Be contactable on the mobile number supplied and follow the confirmed collection instructions. If you are not at the meeting point, the driver or office will make reasonable attempts to contact you, including a call and a written message where available. For standard collections, a driver may leave only after the waiting allowance in section 5 has ended, at least 15 minutes have passed after the later of the confirmed collection time or the driver's arrival, and reasonable contact attempts have failed. For meet and greet, the full confirmed 30-minute waiting period must also have elapsed. If you are in contact and delayed at baggage or passport control, speak to the office to agree further waiting or an alternative collection.
We record the collection time, driver arrival and contact attempts when assessing a no-show. Any no-show charge must reflect our justified loss under section 3, after savings and replacement work; it is not an automatic forfeiture of the full fare. We do not treat you as a no-show because the driver arrived late, went to the wrong agreed meeting point or failed to provide required assistance.
19. Passenger behaviour and safety
No smoking, vaping, violence, threats, abuse or unsafe behaviour is permitted in the vehicle. Wear seat belts where required and follow reasonable safety instructions. A driver may refuse to start or may safely end a journey where conduct creates a genuine safety risk or involves serious abuse. Where safe and appropriate, we will explain the concern and give a reasonable chance to stop the behaviour. The driver will stop in a safe place and contact the office; emergency services may be contacted when necessary. Any charge or refund will reflect the service provided and justified loss, rather than an automatic full-fare penalty. These rules do not permit disability discrimination or refusal of an assistance dog.
20. Complaints
For an urgent collection problem, call the office using your booking confirmation. For a complaint, contact our office using the details on your booking confirmation with your booking reference, journey date, what happened and the outcome you are seeking. We aim to acknowledge complaints within two working days and provide a substantive response within ten working days. If more investigation is needed, we will explain why and give an update. These are service targets, not limits on when you may raise a complaint or exercise your legal rights. You may also raise licensing concerns with the relevant licensing authority; our complaints process does not restrict access to legal remedies.
Last updated: 22 October 2026. These revised terms apply to new bookings made from this date. Existing bookings retain their agreed terms unless a change is expressly agreed; statutory rights are unaffected.
